What This Addendum Covers

This Education Terms and Privacy Addendum applies when a school, teacher, district, or other educational institution uses Kana Pro school licensing, including account-based school seats, school codes, direct account grants, invoice requests, quote requests, and managed-device education builds.

This Addendum supplements the Nested Orbits Terms of Service, Privacy Policy, Refund Policy, and Data Deletion Instructions. If this Addendum conflicts with those general documents for school licensing, this Addendum controls for the school-licensing use.

Authority to Buy and Manage School Licenses

By creating or managing a school account, buying seats, requesting an invoice or quote, accepting a quote, generating school codes, or granting access by account ID, you represent that you are authorized to act for the school or institution and to accept these terms on its behalf.

School admins control the school account. They can buy seats, request invoices or quotes, generate and revoke school codes, grant Premium, edit labels, view the roster, and add or remove other admins. Only give admin access to people trusted to manage the school account.

Account-Based School Seats

Account-based school seats grant Kana Pro Premium to individual Kana Pro accounts. A student or teacher may claim a school code, or a school admin may grant access directly to a known Kana Pro account ID.

Each redeemed school seat is a permanent lifetime license for the account that receives it. Once a seat is redeemed or directly granted, it cannot be revoked, reclaimed, reassigned, rotated to another student, or reused for a later class. Students keep Premium on their own account even if they leave the class or school.

Unredeemed school codes may be revoked, and the reserved seat returns to the school's available seat pool. If an account already has Premium when it claims or receives a seat, no school seat is consumed.

Device-Based School Licensing

Device-based school licensing is for centrally managed school devices. The education build includes Premium in the app build itself and does not require a student account or school-code redemption to unlock Premium.

Store availability, license assignment, reassignment, and refund handling for managed-device builds may also be governed by Apple, Google, school device management, or other store/platform terms.

Payments, Quotes, Invoices, and Refunds

Account-based school seats are priced per seat. Card checkout is paid upfront. Invoice and quote flows credit seats only after payment is confirmed. A quote may be used by a school to raise a purchase order; accepting the quote creates an invoice.

Because redeemed seats are permanent, refunds are generally limited to seats that have not been redeemed, directly granted, or otherwise consumed. Refunded purchases do not revoke Premium that has already been permanently granted to an account. App Store or Google Play purchases are also subject to the relevant store refund rules.

School Data We Process

For account-based school licensing, we intentionally avoid collecting student or teacher email addresses for the school roster. The school roster stores Kana Pro account IDs, sign-in provider information where available, role flags such as admin status, whether the account consumes a school seat, optional school-controlled labels, school code records, claim attempts, purchase ledger records, audit records, and invoice or quote billing details.

Student accounts may also contain Kana Pro profile, settings, and progress sync data under the general Kana Pro service. Billing contacts for invoices or quotes may include billing names, email addresses, phone numbers, billing addresses, tax IDs, purchase order numbers, invoice links, quote links, and related payment metadata.

How We Use School Data

We use school data to provide school licensing, authenticate users, administer school accounts, issue and redeem school codes, grant Premium, keep purchase and audit records, process payments, send or make available invoices and quotes, provide support, prevent misuse, maintain security, and comply with legal, accounting, tax, and platform obligations.

We do not sell student personal data. We do not use school roster data or student progress data for targeted advertising. We do not require student email addresses for school-code redemption.

Data Processing Terms

For school-controlled student personal data processed through school licensing, the school is the controller or equivalent decision-maker, and Nested Orbits acts as a processor or service provider. Nested Orbits processes that data only to provide Kana Pro and school licensing, on the school's documented instructions as expressed in these terms and the product workflow, unless applicable law requires otherwise.

Nested Orbits will use reasonable technical and organizational measures to protect school data, limit access to people and service providers who need it to operate the service, require confidentiality from people who process it, and assist the school with reasonable requests related to access, correction, deletion, security, and data-protection obligations.

Subprocessors and Service Providers

Nested Orbits uses service providers to operate Kana Pro. Current providers include Cloudflare for backend hosting, storage, and security; Firebase/Google for authentication and related account infrastructure; Stripe for web card payments, invoices, quotes, and billing records; Apple and Google Play for app-store distribution and in-app purchases where applicable; and Formspree for website contact form delivery.

These providers may process data only as needed to deliver their services to Nested Orbits. We may update providers as the service changes, and we will keep this Addendum or the general Privacy Policy reasonably current.

Student Privacy and School Consent

Schools are responsible for deciding whether and how students use Kana Pro in their educational environment, including obtaining any required parent, guardian, or student notices or consents. Where a school relies on school consent or a school-official/service-provider exception under applicable student privacy laws, the school must use Kana Pro only for educational purposes and maintain any required direct control over the use of student data.

Nested Orbits will not knowingly use school-controlled student data for purposes outside providing and supporting Kana Pro school licensing, unless the school instructs us to do so or applicable law requires it.

Retention and Deletion

Students may request deletion of their own Kana Pro account data using the general Data Deletion Instructions. Deleting a student account may remove profile, settings, progress, and account-linked service data, but it does not give the school a right to reassign a permanent redeemed seat to another account.

School admins may request deletion of a school account when the account has no other members and no unused seats. Some records may be retained where needed for legal, security, fraud-prevention, accounting, tax, dispute, or payment compliance purposes. Where retention is required, we aim to minimize or redact school-controlled labels and other data that is no longer needed.

Security Incidents

If we become aware of a security incident affecting school-controlled personal data, we will take reasonable steps to investigate, contain, and remediate it, and we will notify affected schools when required by applicable law or when notification is reasonably necessary for the school to meet its obligations.

International Processing

Nested Orbits is based in Finland. Our service providers may process data in other countries. Where required, we rely on appropriate transfer mechanisms offered by those providers.

Changes to This Addendum

We may update this Addendum as school licensing, laws, or service providers change. Material changes will be posted with a new effective date and version. Purchases and school-license actions may record the version accepted at the time.
